MGOSC Executive Board Job Descriptions 2008-2009The 2008-2009 MGOSC Executive Board elections will take place at our May function. If you are interested in running for an office, please review the description of duties, complete the questionnaire, and return it to Donni Hodgkins, 217 Inner Circle, Maxwell AFB, AL 36113. The slate will be announced at the April OSC function. PresidentShall preside at all general business meetings. Call and preside at meetings of Board of Directors / Executive Council. Announce appointments of all Committee Chairmen after consulting with the First Vice. Appoint as needed with the approval of the Executive Council to fill vacancies. Be an ex-officio member of all Committees except the Nominating Committee. Countersign all minutes of meetings. Keep an accurate record and a complete file of the Club’s activities. Coordinate with and assist each member of the Board of Directors as needed. Extend a personal welcome to all new commanders’ spouses. Countersign checks. Remove, with the approval of the Executive Council, members if the Board who miss three meetings or who fail to perform the duties of their office. First Vice PresidentAct as assistant to the President and perform such duties as may be delegated by the President. Perform the duties of President when absent. Have supervision of those Standing Committees assigned her/him by the President with the approval of the Executive Council. Serve as purchasing agent for the procurement of special gifts. Maintain a working knowledge of all Club activities. Serve as protocol advisor to the Board. Countersign checks for the Incorporated Account. Second Vice PresidentPerform the duties of the First Vice when absent. Have supervision of those Standing Committees assigned to her/him by the President with the approval of the Executive Council. Attend Thrift Shop and Charitable Committee meetings. Countersign checks for Scholastic and Charitable Account. Recording SecretaryRecord, sign, present, and post minutes of the Board of Directors meetings. Record attendance at each Board of Directors meeting. Have custody of and assist the President in maintaining all current official records of the Club. Perform duties of the Corresponding Secretary when necessary. Corresponding SecretaryHandle all correspondence of the Club. Maintain a complete file of correspondence. Perform the duties, when necessary, of the Recording Secretary. Be custodian of the bulletin board and post notices when applicable. Deliver all incoming mail to the appropriate person of that office. Administrative TreasurerAssist the Charitable Treasurer in her duties and act as the Charitable Treasurer if needed. Oversee the receipt and collection of all monies payable to the Club. Be custodian of the financial records and accounts. Countersign all checks. Report monthly the financial status of the Club with written copies to be given to the Board of Directors. Make available a financial budget to the general membership twice a year. Serve as Budget Co-Chairman. See that the Administrative Fund, composed of membership dues, is utilized for operating expenses and for carrying out the Club’s purpose. Monitor funds raised to defray expenses under the sponsorship of the Club. Notify Maxwell Officers’ Open Mess of persons authorized to incur debts payable by the Club and business establishments of those who are authorized to charge. Charitable TreasurerAssist the Administrative Treasurer in her duties and act as Administrative Treasurer when needed. Oversee the receipt of all monies payable to the Charitable Association. Serve as custodian of the Charitable financial records and accounts. Countersign all checks. Report monthly the financial status of the Charitable Association with written copies to the Board of Directors. Make available a financial budget to the general membership twice a year. Serve as Budget Co-Chairman.
